SOP: Petty Cash Processing & Cash Management
OBJECTIVE & PURPOSE of PETTY CASH PROCESSING & CASH MANAGEMENT
As with all branch assets, Managers are responsible for all CASH at their location: Petty Cash and Cash Box designated monies. This process accounts specifically for Petty Cash: advances, reimbursements and reconciliation of funds to ensure the integrity and the accuracy of expenditures.
DEFINTIONS: PETTY CASH: monies held in the location to be used for small purchases as approved by the Manager and accounted in each location’s budget. CASH BOX: monies held in the branch’s drawer for receipt of customers’ payments and to make change for applicable customer CASH payments for sales orders and payments on account. GL: abbreviation for “general ledger” is the financial statement account that documents activity and ongoing balances that should be present after each activity. In our GL, the account called “Petty Cash” is a consolidated total of funds assigned to both Petty Cash and Cash Box. Each Branch Manager may determine the specific total of monies needed as well as the specific assignment of amounts for the Cash Drawer and Petty Cash. PETTY CASH LOG/REIMBURSEMENT REQUEST: new form to be used for documenting Petty Cash transactions and to be used to turn in Petty Cash Reimbursement Requests.
